Registration

1. Registration for this event is open to all global practicing Zoroastrians from ages 18 to 35 (as of July 1, 2019).
2. Submitting a registration form indicates acceptance of the terms and conditions set out below.
3. All delegates must complete a registration form.
4. Registration opens on August 15, 2018 and closes on June 30th, 2019. Organizers reserve the right to close registration earlier for any reason.
5. Confirmation of registration is subject to the completion of all forms and full payment of the registration fee.

Registration Procedure

Step 1: Online form and ID upload

All registrations are to be done ONLINE only.

Complete the online registration form by accepting these terms and conditions and signing your consent at the end of this page.

At the time of registration, you will need to upload a copy of your ID.  For non-US registrants, a copy of your main passport page is necessary. For US registrants, a copy of your valid state ID or driver’s license is OK.

Please make sure you name the file in this format: FirstName_LastName_Country. You can upload in PDF or JPEG formats.

Step 2: Payment

At the time of registration, you will have to make the payment for the registration fees and any add-ons you select to participate in.

You will need a valid credit/debit card from Visa, Mastercard, American Express, or Discover.

Step 3: Confirmation Email

You will receive an email confirmation for your registration and a receipt for the amount paid.

Step 4: Post-Registration, Register for Hotel Accomodation

In your confirmation email, you will also receive a link to the Hotel’s registration page. The page will enable you to book room accomodation at a pre-negotiated discounted rate for all Congress attendees.  It is strongly encouraged for participants to stay at the Pacific Palms Resort, the pre-negotiated property for the congress.

All participants are responsible to book their accomodation directly with the hotel and abide by the hotel’s reservation and cancellation policies.

What is included with your registration

Your registration fee includes

• Programming for six days
• Transportation (not including airport transportation)
• Snacks and meals for all days other than the add-on events (Add-ons include dance night and 4th of July)
• Event room and space
• Conference swag (stay tuned!)

Cancellation/Refund Policy

While we understand that sometimes delegates will need to withdraw their attendance at the Congress at late notice, we are required to confirm and pay for accommodation, catering and activities in advance of the Congress.

For that reason, we will not be issuing any refunds except for medical emergencies and visa cancellations. (Both require proof).

Refunds will be in US dollars and returned back on the same credit/debit card used for registration. Applicable bank charges will be deducted from all refunds.

Drugs, Alcohol and Harassment Policies

This is strictly a drug and alcohol-free event. This policy will be firmly enforced for ALL registrants. By filling out the registration form as a delegate, you are agreeing to abide by this. Should you be found with drugs or alcohol at the Congress venue, you will be asked to leave the premises. Please note that in the state of California it is illegal to supply alcohol to anyone under the age of 21 years old and it is illegal to consume, possess or supply certain drugs. Congress officials may be required to involve Police if any criminal offending is detected.

The Organizers of the 7WZYC are committed to creating and maintaining this global event where all individuals who participate in the program and its activities can work and learn together in an atmosphere free of harassment, exploitation, intimidation or discrimination.

Every participant should be aware that the organizers strictly prohibit sexual harassment and sexual violence and such behavior is in violation of both United States law and the policy of congress venue will respond promptly and effectively to reports of sexual harassment and sexual violence, and will take appropriate action to prevent, to correct, and when necessary, to discipline behavior that violates this policy.

Insurance

Delegates are responsible for organizing their own travel and medical insurance. This is strongly recommended by the Organizing Committee. Should a delegate choose not to prepare this for themselves, it is at their own discretion and the Organizing Committee will not be held financially responsible.

Accommodation

1. Delegates agree to abide by the rules and regulations stipulated by Pacific Palms Resort, the venue for the entire duration of the Congress. These rules will be provided to you on the day of the event.
2. The Congress venue has 24-hour security on campus, however, all delegates are responsible for their own belongings. For your own safety, ensure you have a lock for your bag(s).  Safe deposit lockers shall be available in each hotel room for your use.
3. Should a delegate set off a smoke alarm causing a false alarm, that delegate is responsible for any/all fees and fines the Congress venue may charge.

Medical

All delegates with any pre-existing medical condition (including allergies) must let the organizers of the conference know of their condition and clearly state their circumstance and if they should not participate any activities or require special accommodation.

Visas

Should a delegate require a visa for entrance to attend the Congress in United States of America, the Hosts and Organising Committee will issue a referee letter to the delegate. Indemnity

By signing the registration form as a delegate, or parent/legal guardian of a delegate, you agree to indemnify 7WZYC, CZC, FEZANA or any of its sub-bodies for any direct, indirect, consequential, exemplary, incidental damage to yourselves or your property. 7WZYC, CZC, and FEZANA also reserve the absolute right to make any changes when deemed necessary.

By agreeing to attend this conference, you and your representative, agent or parent / legal guardian agrees to indemnify and hold harmless 7WZYC, CZC and FEZANA and its sub bodies of and from any and all claims, demands, losses, causes of action, damage, lawsuits, judgments, including attorneys’ fees and costs.

Congress Procedure

In all matters relating to the Congress, the Chairman’s decision will be final – after due process of deliberation involving the 7WZYC Executive Committee and CZC and FEZANA Representatives.
